UK's leading online visa platform
How the UK's leading visa platform tripled their application capacity without adding a single team member.
“VisaCRM transformed how we handle visa applications. What used to take our team hours of manual work now happens automatically. We've tripled our capacity without adding headcount.”

The Challenge
When Anyvisa first approached us, they were processing hundreds of visa applications per month — and every single one required manual effort. Their team was juggling spreadsheets for tracking, email threads for client communication, and separate systems for each payment gateway. With over 50 visa types across dozens of countries, each with different pricing, document requirements, and processing timelines, the complexity was overwhelming.
The breaking point came during peak travel season. Applications were slipping through the cracks, clients were calling daily asking about their status, and the team was spending more time on admin than actually helping people get their visas. They needed a system that could match the scale of their ambition.
Dynamic Application Forms That Adapt to Every Visa Type
The first thing we built for Anyvisa was a dynamic form system. Instead of maintaining 50+ static application forms, VisaCRM generates the right form automatically based on the visa type, destination country, and applicant nationality.
When a customer selects a Schengen Tourist visa, they see exactly the fields and document uploads required for that specific visa — no more, no less. A UK Work Visa applicant gets a completely different set of fields, including sponsor details and employment history. The form builder handles conditional logic, so fields appear or hide based on previous answers.
This alone eliminated the most common source of errors: applicants submitting incomplete or incorrect information. With built-in validation and required field logic, the quality of incoming applications improved dramatically.
Multi-Gateway Payments Without the Headache
Anyvisa's customer base is global, which means payment preferences vary widely. Some clients prefer card payments through Stripe, others use PayPal, and UK-based corporate clients often require Barclays ePDQ for compliance reasons.
Before VisaCRM, managing three payment gateways meant three separate dashboards, three reconciliation processes, and no unified view of revenue. We integrated all three gateways into a single payment system with automatic currency conversion, instant receipt generation, and real-time payment status tracking.
The transparent pricing engine calculates the total automatically: government fee plus service fee, multiplied by the number of applicants, plus any add-on services like express processing. Clients see exactly what they're paying for before they checkout.

Automated Communication That Keeps Clients Informed
The single biggest drain on Anyvisa's team was responding to status enquiries. "What's happening with my application?" "Did you receive my passport scan?" "When will I hear back?" — these questions made up the majority of their daily emails and calls.
We implemented 17 automated notification types across email and WhatsApp. When an application moves from 'submitted' to 'processing', the client gets a WhatsApp message instantly. When a document is approved, an email goes out. When payment is confirmed, a receipt is generated and sent automatically.
The result was immediate and measurable: support tickets dropped by 75% within the first month. Clients felt more informed, and the team reclaimed hours of their day that had been spent on repetitive status updates.
The Admin Command Centre
Anyvisa's operations team needed more than a list of applications — they needed a command centre. VisaCRM's admin dashboard gives them exactly that.
Every application is visible in real-time, filterable by status, visa type, assigned agent, or date range. The Kanban board view lets agents drag applications through pipeline stages: received, documents verified, submitted to embassy, approved, or refused. Each move triggers the appropriate client notification automatically.
Bulk actions handle the repetitive tasks — mass status changes, email campaigns to pending applicants, CSV exports for reporting. And the global search means finding any application, client, or payment takes seconds, not minutes.

Book a call →The B2B Partner Portal
What set Anyvisa apart from many visa agencies is their network of travel agency partners. Before VisaCRM, partner agencies would send applications via email or phone — leading to miscommunication, lost documents, and manual commission tracking.
We built a dedicated B2B Partner Portal where each partner agency has their own login and dashboard. Partners submit intake orders directly through the system, track application progress in real-time, and view their commission statements at any time. The API integration means partners can even embed Anyvisa's application forms directly into their own websites.
Commission calculation is fully automated — configured per partner with customisable rates. When an application is completed, the commission is calculated, logged, and added to the partner's invoice automatically. What used to require a full-time finance person now runs without manual intervention.
Results & Impact
Today, Anyvisa processes over 5,000 applications every month — three times their previous capacity — with the same team size. The combination of automated forms, multi-gateway payments, and proactive client communication means each application requires a fraction of the manual effort it once did.
Their customer satisfaction score has climbed to 4.8 out of 5, driven largely by the transparency and speed that automation provides. And their partner network continues to grow, with the B2B portal making it effortless to onboard and manage new agency relationships.
